Terms and Conditions
The agreement that governs how your organisation uses Kiko, what we are responsible for, and what we ask of you.

Kiko is a demonstration product. This document is written as a realistic sample and is not a binding agreement. Do not rely on it as legal advice.
1. Agreement to these terms
These terms form an agreement between Kiko and the organisation that subscribes to the service. By creating a workspace, inviting users, or continuing to use Kiko, your organisation accepts these terms.
Where your organisation has signed a separate written agreement with us, that agreement takes precedence wherever the two conflict.
2. What the service is
Kiko is a people management platform covering recruitment, onboarding, attendance, leave, payroll, performance, engagement and exits. Access is provided over the internet on a subscription basis.
We add and improve features over time. We will not remove a feature your organisation depends on without reasonable notice, and we will not degrade a paid capability during a subscription term.
3. Accounts and access
Workspaces are provisioned by an administrator at your organisation. There is no public sign up. Your administrator decides who gets an account, what role they hold, and what data that role can reach.
Your organisation is responsible for keeping credentials confidential, for removing access when someone leaves, and for the actions taken under its accounts.
4. Acceptable use
Do not use Kiko to store data you have no lawful basis to hold, to attempt to access another organisation's workspace, to probe or load test the service without written permission, or to resell access.
We may suspend an account that is actively harming the service or other customers. Where we can, we will tell you first and give you a chance to fix it.
5. Your data stays yours
Your organisation owns the employee records, payroll inputs, documents and reports it puts into Kiko. We process that data to run the service for you and for no other purpose.
We do not sell customer data, and we do not use identifiable employee data to train models. Export is available at any time in machine readable formats.
6. Payroll and statutory calculations
Kiko computes provident fund, employees state insurance, professional tax and tax deducted at source based on the rules and the inputs configured in your workspace.
We maintain those rules diligently, but your organisation remains the filer of record. Review each payroll run before approving it. The approval step exists precisely so that a person, not the software, signs off on what is paid.
7. Fees and renewal
Subscription fees, the billing cycle and the user count are set out in your order form. Fees are payable in advance and are not refundable for a period that has already begun.
Subscriptions renew for the same term unless either side gives notice before the renewal date. We will tell you about a price change at least sixty days before it applies.
8. Availability and support
We target 99.9 percent monthly availability, measured excluding scheduled maintenance announced in advance. Payroll processing windows are treated as change freeze periods.
Support is available on business days. Anything blocking a payroll run is treated as urgent regardless of the hour.
9. Limitation of liability
Neither party is liable for indirect or consequential loss. Our total liability in any twelve month period is limited to the fees paid by your organisation in that period.
Nothing in these terms limits liability that cannot be limited by law, including liability for fraud or for death and personal injury caused by negligence.
10. Ending the agreement
Either side may end the agreement at the end of a subscription term. Either side may end it sooner if the other commits a material breach and does not fix it within thirty days of being told.
On termination your organisation has ninety days to export its data, after which we delete it in line with the retention schedule in our privacy policy.
11. Changes to these terms
We may update these terms. If a change materially reduces your rights we will give at least thirty days notice, and your organisation may end the agreement before the change takes effect.
